Your lead arrives through five different doors
A property portal, the website form, an agent's Instagram, the agency WhatsApp and the phone at reception. Today each one lives in its own app. In Wootdesk they land in the same queue, with the contact record beside them.
The lead that disappears into an agent's phone
You pay for the portal listing, the lead arrives, and it lands in the personal WhatsApp of whoever was on duty. If that person goes on holiday, moves to another agency or simply forgets, the contact stops existing for the business. You cannot even audit how many were lost.
When the conversation happens on the agency number, the history belongs to the company. Whoever picks it up tomorrow sees what was discussed, which property the person viewed and what was agreed. The agent still works from their own phone; the record just does not leave with them.
It also settles the commission argument: who said what, and when, is on the record with a date and a name.
Conversations
Letting and selling are not the same conversation
Someone renting wants to know about guarantors, deposits and terms. Someone buying wants to know about financing, paperwork and counter-offers. And someone already renting just wants the leaking bathroom fixed.
Three audiences with different levels of urgency, all on the same number. Routing rules drop each into the right team — lettings, sales or management — without reception triaging everything by hand.
Labels handle the rest: “viewing booked”, “awaiting credit check”, “documents pending”. At month end you can see where the pipeline is jammed instead of finding out from a complaint.

Internal note
It is. Could I book you a viewing for Thursday at 3pm?
One history · every channel
The tenant who is already your customer
The least glamorous part of the business generates the most messages: an invoice that never arrived, maintenance, inspections, renewals, terminations. High volume, repetitive, never-ending.
It is exactly what WootAI answers on its own from your help centre: how to request a duplicate invoice, how long maintenance takes, what is needed to renew. Anything needing a person still reaches a person.
And because every contract has a history, whoever answers does not have to ask again which property it is and who the landlord is.

What a week at the agency looks like
Situations every agency recognises, handled differently:
Monday morning, 40 messages from the weekend
All in one queue, already split between lettings, sales and management. Nobody opens five apps to find out what is pending.
“Is this flat still available?”
A saved reply with the listing link, sent in two clicks. The most repeated question in the sector stops eating the agent's day.
An agent on their day off
The conversation is on the company number, so whoever is on duty takes over with the full history. The client does not repeat the story.
A viewing booked but not confirmed
A message scheduled the day before, going out on its own within business hours. Fewer no-shows, fewer agents waiting outside an empty flat.
“My invoice never arrived”
WootAI explains where to get a duplicate, based on your help centre, without reaching the team at all.
A landlord asking about their payment
A payment label, the contract history in view, and an answer with the right information instead of a hunt through a spreadsheet.
What your team uses day to day
The same features on every plan, with no add-on fees and no conversation cap.
Shared inbox
Everyone answering the same number, without two people replying to one customer.
Canned replies
The text your team types ten times a day, saved and sent in two clicks.
Team routing
Conversations land with whoever solves them, by channel, keyword or hour.
Labels and private notes
Context kept on the contact, visible to the team and invisible to the customer.

Frequently asked questions
- Can each agent work from their own phone?
- Yes. Everyone has their own login and answers from the app or the browser, but the conversation happens on the agency number. The agent works from anywhere and the history stays with the company, even if they leave.
- Can I separate lettings, sales and management?
- Yes, using teams and routing rules. A conversation lands with the right team based on channel, keyword or time of day, and labels let you track which stage each case is at — viewing, offer, paperwork.
- What about leads coming from property portals?
- If the portal forwards to WhatsApp, email or your website form, it arrives in Wootdesk like any other conversation. For deeper integration with a real estate CRM, there is an API and a connection through N8N.
- Does WootAI answer tenant questions?
- It answers whatever is in your help centre: duplicate invoices, maintenance timescales, renewal paperwork. Anything involving negotiation, an inspection or an exception still goes to someone on the team.
- Can I see how many leads each agent handled?
- Yes. Reports show volume per agent, first response time and conversations by label. That serves both for managing the team and for settling questions about who spoke to a client first.
- Do I need to change the number on my listings?
- No. The number belongs to your business and stays the same — it simply becomes connected to Wootdesk instead of to a handset. Anyone who already saved your contact carries on messaging you as before.
