Wootdesk vs Manychat: a support inbox, not a DM automation builder

Manychat is built to automate social DMs — comment triggers, keyword flows, broadcast sequences on Instagram and Facebook. Its free plan covers 25 monthly active contacts and one user, and WhatsApp becomes available on the Pro tier.

Wootdesk is built for the conversation after the automation: several agents sharing one inbox, assignment rules, private notes, WhatsApp and email in the same thread. Choose Manychat to grow an audience through DM funnels. Choose Wootdesk when people are already writing in and a team has to answer them.

A 3-agent team handling 2,000 conversations a month

  • Around 1,500 distinct people write in per month across WhatsApp and Instagram.
  • Three people answering, all needing their own login.
  • Monthly billing at list price.

Wootdesk

US$50 (≈ R$269)

Prata plan, 4 seats, unlimited conversations, WhatsApp included

Charged in BRL. The USD figure is an estimate at R$5.40/US$1.

Manychat

From US$39

Pro at US$39 covers 2,500 active contacts and unlocks WhatsApp; 1,500 contacts sits inside the allowance

Inbox seats beyond the included ones are a separate line on the Manychat plan pages.

At this volume Manychat's sticker price is lower, and if your job is running DM funnels that is the right answer. The comparison changes when three people need to work the same queue all day: seats, assignment and internal notes are the part Wootdesk charges for and the part a marketing automation tool is not shaped around.

Two different jobs that both live in Instagram DMs

Manychat's centre of gravity is acquisition. A comment on a Reel triggers a DM, the DM runs a flow, the flow captures an email or pushes a link. That machinery is genuinely good, and it is why creators and DTC brands keep it.

Wootdesk's centre of gravity is resolution. Someone asks where their order is, an agent picks it up, checks the history, answers, tags it, and the next person to touch that customer sees everything that happened. Different job, different shape.

Plenty of businesses need both, and they are not mutually exclusive. What causes pain is expecting either one to do the other job well — running a five-person support rota inside a flow builder, or trying to build a comment-to-DM funnel in a helpdesk.

When WhatsApp becomes available

On Manychat, Free and Essential connect up to two channels from Instagram, Facebook Messenger, TikTok and Telegram. WhatsApp arrives on Pro, at US$39 a month, which also lifts the allowance to 2,500 active contacts.

On Wootdesk, WhatsApp is on the entry plan, because it is the channel most customers in Brazil, Iberia, South Asia and the Middle East actually use. There is no tier where the main channel is the upgrade.

The active-contact meter, and what counts

Manychat defines an active contact as someone you exchanged messages with during the billing month, counted once no matter how many messages passed. Essential includes 250, Pro 2,500, Business 7,500, with overage at US$0.10, US$0.05 and US$0.025 per contact respectively.

Public reviews on G2 and Capterra return to one recurring point: the counter includes organic conversations, not just automated ones, which surprises people who assumed it only measured flow traffic. Worth understanding before a campaign month.

Wootdesk does not count contacts. Conversations are unlimited on paid plans and the invoice tracks headcount, which makes it dull to forecast — the intended effect.

What a support team needs that a flow builder does not have

Assignment rules, business hours, private notes on a conversation, a full contact history across channels, labels that survive a handover, reports on response time by agent. These are unglamorous and they are what a rota of three or more people runs on.

Wootdesk carries all of them on the entry plan, along with WootAI drafting replies from your own help centre content. Manychat's inbox exists but is built around one or a few operators supervising automation, not around a queue several people share all day.

When Manychat is the better choice

Straightforwardly, these cases are theirs:

  • Your growth engine is Instagram comment-to-DM automation. Manychat is purpose-built for it and Wootdesk does not compete there.
  • You need TikTok messaging. Manychat supports it; Wootdesk does not.
  • You are one person or a very small team, volume is low, and US$14 a month with 250 contacts covers you.
  • You want broadcast and drip sequences on Instagram as the core feature rather than a side capability.
  • You are a creator or an agency running many client accounts through DM funnels rather than staffing a support queue.

Moving from Manychat to Wootdesk

Most teams do not fully replace Manychat — they keep the funnels and move the support conversations. Either path starts the same way.

  1. 1. Decide what actually moves

List your active automations. Comment-to-DM funnels and broadcast sequences may be worth keeping where they are. Support conversations, order questions and anything a human answers are what moves.

  2. 2. Export contacts and tags

Pull your subscriber list with tags and custom fields. Tags carry the segmentation logic you spent months building, so export them before anything else changes.

  3. 3. Connect WhatsApp and Instagram to Wootdesk

Start the 7-day trial and connect the channels. Instagram can be connected to Wootdesk while your Manychat automations stay live, so you can compare the two side by side before committing.

  4. 4. Rebuild what humans use, not what bots use

Recreate canned responses, business hours, labels and assignment rules. Do not try to port flow logic one for one — the two products model automation differently and a literal translation makes a mess.

  5. 5. Move the team, then the traffic

Put your agents in Wootdesk for a week on one channel before switching the rest. It surfaces gaps in the label structure while the old system is still there as a fallback.

Frequently asked questions

Is Wootdesk a Manychat replacement?
Only partly. Wootdesk replaces the part where humans answer customers: shared inbox, assignment, notes, history across channels. It does not replace Instagram comment-to-DM funnels or broadcast sequences, which is what most people buy Manychat for in the first place.
Does Manychat include WhatsApp?
Not on every plan. According to Manychat's help centre in August 2026, Free and Essential connect channels such as Instagram, Facebook Messenger, TikTok and Telegram, and WhatsApp becomes available on the Pro plan at US$39 per month.
What counts as an active contact on Manychat?
Someone you exchanged messages with during the billing month, counted once regardless of message volume. It includes organic conversations, not only automated ones. Essential includes 250 active contacts, Pro 2,500 and Business 7,500, with per-contact overage above those.
Does Wootdesk have a free plan?
No. There is a seven-day trial with no credit card and no sales call, then paid plans starting at roughly US$28 a month for two seats. Manychat does offer a permanent free tier, limited to 25 monthly active contacts and one user.
Can I run both tools at once?
Yes, and many teams do. A common split is Manychat handling Instagram acquisition funnels while Wootdesk handles WhatsApp support and everything a human answers. The two connect to different channels, so there is no technical conflict.
Which one is better for a support team of five?
Wootdesk, on shape rather than price. Five people sharing one queue need assignment rules, private notes, labels that survive handovers and per-agent reporting. Manychat's inbox is built around a small number of operators supervising automation instead.
Does Wootdesk support Instagram automation?
It supports Instagram as a channel with automation rules, canned replies and AI-drafted responses. It does not offer comment-to-DM trigger funnels of the kind Manychat specialises in, and if that is your main use case Manychat remains the better tool.
