Wootdesk vs Trengo: sized for small teams, with no conversation ceiling

Trengo sells in blocks. Boost is €299 a month for 10 users and 500 conversations; Pro is €499 for 20 users and 1,500 conversations. If your team is five people you still buy the ten-user block, and the conversation allowance is the second ceiling.

Wootdesk starts at roughly US$28 a month for two seats with unlimited conversations, and scales a seat at a time. Choose Trengo if you already have ten or twenty agents and want a European vendor billing in euros. Choose Wootdesk if you are smaller than the block you would have to buy.

A 3-agent team handling 2,000 conversations a month

  • Three agents, WhatsApp and Instagram, 2,000 conversations in the month.
  • Monthly billing at list price, no annual commitment.
  • Trengo's conversation allowance counts conversations, not messages.

Trengo

€499+ (Pro, before overage)

2,000 conversations exceeds Boost's 500/month and Pro's 1,500/month, so this volume sits above both published tiers

The pricing page states the allowances but not the cost of exceeding them. Check with Trengo before assuming a figure.

This is the scenario where block pricing bites hardest: a three-person team at 2,000 conversations pays for twenty user seats it will not use, because the conversation ceiling — not headcount — decides the tier.

Buying a block versus buying a seat

Trengo's Boost plan is €299 a month and includes ten users. Pro is €499 and includes twenty. Extra users beyond the block are €30 and €50 a month respectively, or €25 and €40 on annual billing, per the official pricing page in August 2026.

Block pricing is efficient when your team fills the block. Ten agents on Boost works out to around €30 each, which is competitive. Three agents on Boost is around €100 each, because you are paying for seven empty chairs.

Wootdesk sells seats: two on the entry plan, four on the next, extra seats from about US$6 a month. Small teams pay for what they use; large teams eventually reach a point where a block deal is better value, and that is worth being honest about.

The second ceiling nobody plans for

Boost includes 500 conversations a month, Pro 1,500. Those are stated on Trengo's pricing page as monthly figures, with annual equivalents of 6,000 and 18,000.

A conversation cap behaves differently from a seat cap because you do not control it. A product launch, a delivery problem, a viral post — all of them raise conversation count without changing anything about your team. That is the month you discover which ceiling you are actually near.

Wootdesk does not cap conversations on paid plans. A busy month costs the same as a quiet one, which is the entire point of metering seats instead.

Where each vendor is at home

Trengo is a Dutch company selling primarily into European markets, quoting in euros, with the invoicing and support hours that follow from that. For a European buyer with a finance team that wants a EU vendor and EUR invoices, that is a genuine advantage.

Wootdesk bills in Brazilian reais through a Brazilian processor, with prices displayed in USD and EUR as estimates. For buyers in Latin America, Iberia and South Asia this is either neutral or helpful; for a European company with strict local-invoicing requirements it is a point to check with finance before committing.

Voice, and what is in the box

Wootdesk includes a voice channel: Twilio Voice and WhatsApp Calling ring inside the shared inbox, with the recording and duration saved to the same conversation as the chats. Trengo's pricing page lists WhatsApp, Instagram, Facebook, email, live chat and SMS, and does not list voice among them.

Both include AI on all tiers — Trengo with its HelpMate agent and AI Journeys on Boost and above, Wootdesk with WootAI. Neither charges for AI as a separate add-on, which puts them on the same side of a line that several competitors sit on the other side of.

When Trengo is the better choice

There are clear cases where the block model wins:

  • You already have ten or more agents. At that size the per-head cost of a Boost block is competitive and Wootdesk's per-seat pricing loses its advantage.
  • Your finance team requires a European vendor with EUR invoicing and EU-based support hours.
  • Your conversation volume is stable and sits inside the allowance, which makes the cap harmless.
  • You want AI Journeys for multi-step workflow automation as a first-class feature.
  • You are consolidating several European offices onto one vendor and local presence matters more than per-seat cost.

Moving from Trengo to Wootdesk

Trengo's multi-channel setup means more connections to move than a WhatsApp-only tool, but each is straightforward.

  1. 1. List every connected channel

Trengo teams typically run more channels than they remember — a shared mailbox, an old SMS number, a live chat widget on a page nobody visits. Decide what actually moves before starting.

  2. 2. Export contacts and conversation history

Pull contacts with tags and custom fields. Historical conversations are usually left read-only in Trengo for the remainder of the contract rather than imported.

  3. 3. Rebuild rules and canned replies in the trial

Seven days, no card. Recreate routing rules, business hours, labels and quick replies while Trengo still handles live traffic.

  4. 4. Move channels one at a time

Start with the lowest-volume channel — often live chat or SMS — to shake out routing problems before the WhatsApp number moves.

  5. 5. Transfer the WhatsApp number last

It connects to one Business Solution Provider at a time, so there is a short gap while it is disconnected on one side and connected on the other. Schedule it at your quietest hour.

  6. 6. Check the contract end date

If you took the annual discount, note when the term ends. Running both for a month is cheap insurance; paying for a year of an unused system is not.

Frequently asked questions

How much does Trengo cost?
Boost is €299 a month for 10 users with 500 conversations, and Pro is €499 for 20 users with 1,500 conversations, per Trengo's official pricing page in August 2026. Annual commitment carries a discount of up to 20%, and Enterprise is quoted on request.
Does Trengo limit conversations?
Yes. Boost includes 500 conversations a month and Pro 1,500, stated as 6,000 and 18,000 a year on the pricing page. Wootdesk does not cap conversations on paid plans, so a high-volume month costs the same as a quiet one.
Is Wootdesk cheaper than Trengo?
For a small team, substantially: around US$28 a month for two seats against €299 for the smallest Trengo block. That reverses as you grow — at ten or more agents Trengo's per-head cost becomes competitive and the comparison is about features rather than price.
Can I pay Wootdesk in euros?
No. Wootdesk charges in Brazilian reais through Asaas. Prices shown in euros and dollars on this site are estimates converted at a fixed rate for comparison. If your finance team requires EUR invoicing, check that before deciding.
Does Trengo support voice calls?
Voice is not listed among the channels on Trengo's pricing page, which names WhatsApp, Instagram, Facebook, email, live chat and SMS. Wootdesk includes voice through Twilio and WhatsApp Calling, with recordings saved to the conversation.
Do both include AI in the plan price?
Yes, both. Trengo includes its HelpMate AI agent on all tiers with AI Journeys on Boost and above; Wootdesk includes WootAI on every plan. Neither sells AI as a separate per-agent add-on the way some larger suites do.
How long does migration take?
Rebuilding rules, labels and canned replies takes an afternoon for most teams. The WhatsApp number transfer is the only step with real downtime, usually a short window scheduled out of hours, and it is the piece to plan around.
